1. Scope

This policy applies to visitors of our website, persons contacting us via the website (e.g., through a contact form or by e-mail), and applicants who apply for vacancies through our website.

2. Which personal data do we process and why?

2.1 Website contact (contact form / e-mail)

  • Data: name, company, job title, e-mail address, phone number, your message and any other information you provide.

  • Purpose: responding to your enquiry, handling requests/quotations, relationship management.

  • Legal basis: performance of (pre-)contractual measures or our legitimate interest to respond to you (Art. 6(1)(b) or (f) GDPR).

2.2 Job applications

  • Purpose: processing your application and communicating with you.

  • Legal basis: performance of (pre-)contractual measures and our legitimate interest in recruitment & selection (Art. 6(1)(b) and (f) GDPR).

2.3 Automatically generated data

  • Data: anonymised statistics about website use (see Cookies below).

  • Purpose: improving our website and services.

  • Legal basis: our legitimate interest in maintaining and improving a well-functioning website (Art. 6(1)(f) GDPR).

We do not intentionally request or process special categories of personal data or data relating to children under 16 via our website.

3. Cookies

3.1 Types of cookies

Our website only uses functional cookies and anonymised analytical cookies.

Functional cookies

These cookies are essential for the technical operation of the website and ensure that basic functionalities (such as displaying pages correctly and remembering your preferences within a session) work properly. Without these cookies, the website cannot function correctly.

Analytical cookies (Google Analytics)

We use analytical cookies to gain insight into the use of our website and to improve the quality and effectiveness of our services. We use Google Analytics with the following safeguards:

  • the last octet of your IP address is masked (anonymised);

  • a data processing agreement has been signed with Google;

  • data are not shared with Google for advertising or other Google services;

  • the “data sharing” function within Google Analytics is disabled.

With this configuration, neither we nor Google can identify you as an individual visitor. The data we collect are solely used to compile statistics and improve our website.

Consent: because our website only uses functional cookies and fully anonymised analytical cookies, under the GDPR and the Dutch Telecommunications Act no cookie banner or prior user consent is required.

4. Sharing of personal data

We do not share your personal data with third parties, unless:

  • it is necessary for our services (e.g., hosting provider, website management, anonymised web analytics);

  • we are legally obliged to do so; or

  • you have given your consent.

(Where we engage processors, we conclude data processing agreements that meet GDPR requirements.)

5. Data transfers outside the EEA

For Google Analytics, data may be processed outside the European Economic Area. In such cases, we rely on appropriate safeguards, such as Google’s EU Standard Contractual Clauses (SCCs). Since we anonymise IP addresses and have disabled data sharing, the privacy risk is limited.

6. Data retention

  • Contact requests: until your request has been handled and up to 24 months thereafter, unless a longer period is required for (pre-)contractual or legal purposes.

  • Applications: up to 4 weeks after the end of the application process. With your explicit consent we may retain your data for 1 year for future vacancies (you may withdraw consent at any time).

  • Anonymous Analytics data: according to the retention settings in Google Analytics (preferably 14 months), only in anonymised form.

7. Security

We take appropriate technical and organisational measures to secure your personal data against loss or unlawful processing. Examples include restricted access, encryption where appropriate, and regular evaluations of our security measures.

Reporting a security vulnerability? Please e-mail us at [email protected] with sufficient details to reproduce the issue. We will assess reports and take appropriate measures.

8 Your rights

You have the following rights under the GDPR:

  • Access to your personal data;

  • Rectification of inaccurate data;

  • Erasure (“right to be forgotten”) where applicable;

  • Restriction of processing;

  • Data portability;

  • Objection to processing based on legitimate interest;

  • Withdrawal of consent (where processing is based on consent).

You can submit your request via [email protected] or [email protected]. To protect your privacy, we may ask you to verify your identity. We will respond within one month (with the possibility of extension as provided by the GDPR).

You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) at www.autoriteitpersoonsgegevens.nl

9. Links to third-party websites

Our website may contain links to external websites. We are not responsible for the content or privacy practices of such third parties. We encourage you to read their privacy policies.

10. Changes

We may update this privacy policy from time to time, for example in case of changes to legislation or our services. The latest version is always available on our website and includes the date of the last update.
